Wollemi Ridge Retreats Terms and Conditions
1. Definitions & Booking Contract
1.1 “Booking” means the reservation of accommodation and/or experiences offered by Wollemi Ridge Retreats (“We / Us / Our”) via our website or direct contact.
1.2 “Guest(s)” means the person or persons who make the Booking, pay the required fees, and stay at or use the facilities of Wollemi Ridge Retreats. The “Primary Guest” is the person who confirms the booking and payment.
1.3 Upon payment of the required deposit or full payment (as specified), the Guest accepts these Terms & Conditions (“T&Cs”). The booking is confirmed only once we send a Booking Confirmation to the Primary Guest.
2. Booking, Payment & Deposit
2.1 To secure a booking, a minimum deposit of 50% of the total tariff is required unless otherwise stated. The balance is due 7 days before arrival.
2.2 If full payment is not received by the due date, we reserve the right to cancel the Booking and re‑allocate the accommodation.
2.3 A security pre‑authorisation or bond may be required (e.g. on credit card) to cover potential additional costs: damage, extra cleaning, lost items, or breach of these Terms. The amount will be specified at the time of booking.
2.4 Any fees paid are in Australian Dollars (AUD) and include/generate applicable GST, unless otherwise stated.
3. Accommodation Use & Occupancy
3.1 The accommodation (tent, bunk, tipi glamping site) is licensed for holiday use only, not as a residential tenancy.
3.2 Only the number of guests specified in the booking may stay overnight. Additional guests/visitors require prior written approval. Unapproved extra guests may result in eviction without refund.
3.3 The Primary Guest is responsible for the conduct of all guests and visitors, and for ensuring they abide by these Terms & Conditions.
3.4 Guests must not engage in illegal activity, excessive noise, disruptive behaviour, or activities that risk damage or discomfort for others. Prohibited uses (e.g. parties, large celebrations, “Schoolies”-style events) are strictly banned unless pre-approved.
3.5 Smoking inside tents/accommodation is prohibited. Outdoor smoking must follow guidelines (e.g. no open fire near flammable material, disposal of butts).
3.6 Pets are not permitted unless explicitly allowed at booking and with prior written approval.
4. Cancellation & Refund Policy
4.1 Guest‑initiated cancellations or changes must be made in writing (email).
4.2 For standard accommodation bookings:
If cancellation is more than 30 days prior to arrival → full refund minus an administration fee (e.g. A$50)
If cancellation is between 14–30 days before arrival → 50% of the total tariff forfeited
If cancellation is within 14 days of arrival → 100% of tariff is forfeited (no refund)
4.3 For add‑on experiences (workshops, tours, dinners, etc.): cancellations must follow cut‑off times specified at booking and will be non-refundable within the cut-off (often 14–30 days depending on booking).
4.4 If we must cancel a booking (e.g. property becomes unavailable, fire bans, natural disaster, serious maintenance, etc.), we will offer a full refund or alternative dates.
4.5 In case of early departure or shortening stay, no refund will be given for unused nights, unless otherwise agreed in writing.
5. Changes to Booking / Postponements
5.1 Requests to change dates or guest numbers must be submitted in writing. Approval is at our discretion and subject to availability. Additional charges may apply.
5.2 We may charge an administration fee for date changes. If within 14 days of arrival, change requests may be denied, or full tariff applied.
5.3 If you fail to check‑in by 10 AM (or agreed time) on the first day without prior notice, booking may be cancelled and fees forfeited.
6. Guest Responsibilities, Damage & Safety
6.1 On arrival, Guests must inspect the accommodation and its fittings, and report any existing damage or issues before using.
6.2 Guests are responsible for any damage, loss or extra cleaning required due to their stay — including but not limited to broken items, excessive soiling, missing items, or smoke/odour damage. Costs may be charged against the credit card provided.
6.3 Guests must follow all house and safety rules (provided on site/at booking). This may include fire restrictions, waste disposal, noise curfews, fire‑pit rules, wildlife and bushcare guidelines, and other environmental protections relevant to the property.
6.4 Illegal activity, dangerous behaviour, or misuse of facilities is strictly prohibited. We reserve the right to evict guests and forfeit booking fees if breaches occur.
7. Activities & Experiences (Tours, Workshops, Add‑ons)
7.1 Booking of any experience (e.g. farm tours, workshops, meals, bushwalks, glow‑worm night tours) constitutes agreement to these Terms & Conditions, and any associated activity rules and liability waivers.
7.2 Some activities may require a signed waiver, ID check, or pre-payment to confirm the booking.
7.3 Experiences may be weather-sensitive or depend on local conditions (e.g. fire bans, severe weather, wildlife, regulatory restrictions). If an experience is cancelled by us, we will refund in full or offer an alternative date.
7.4 If a guest cancels an experience past the cut-off date, no refund will be provided.
7.5 Guests engaging in activities do so at their own risk. Wollemi Ridge Retreats does not accept liability for injury, loss or damage arising from misuse, negligence, or behaviour contrary to instructions from our staff or guides. We strongly recommend travel insurance for all guests.
8. Force Majeure & External Risks
8.1 Wollemi Ridge Retreats is located in natural bushland and may be affected by events beyond our control: bushfires, storms, floods, wildlife, power outages, road closures, COVID or other health emergencies.
8.2 In the case of such events:
We reserve the right to cancel or postpone bookings or experiences for safety.
We will endeavour to offer full refunds, credits, or alternative dates, but cannot guarantee compensation for other losses (travel costs, time, etc.).
8.3 Guests accept the risk associated with environmental conditions and understand that wildlife, insects, weather or natural elements are part of the bush experience.
9. Privacy & Guest Information
9.1 At booking, we may collect personal information (name, contact, ID, payment details) for the purpose of confirming bookings, security deposit, waivers, communication, and legal compliance.
9.2 We will treat personal data in accordance with privacy law. We will not share personal data with third parties except as required for payment processing or legal compliance.
9.3 Guests consenting to keep contact details may receive communication about future offers, changes, policies — unless they opt-out.
10. Liability & Indemnity
10.1 To the fullest extent permitted by law, Wollemi Ridge Retreats, its owners, staff, agents and contractors disclaim liability for any loss, damage, injury or death suffered by Guests — except where caused by gross negligence or wilful misconduct by us.
10.2 Guests agree to indemnify and hold harmless Wollemi Ridge Retreats for any claims, costs, damages, demands, or legal actions arising from their stay or participation in activities — including those caused by breach of these T&Cs or house rules, or by other guests under their booking.
10.3 We recommend guests have suitable travel and health insurance to cover personal injury, loss, damage or cancellation.
11. House Rules & Behaviour
11.1 Quiet hours: [specify times, e.g. 11 pm–7 am] — no loud music, parties, or anti-social behaviour.
11.2 Fire & smoking: Fires only in designated fire pits, with safety measures. No burning outside fire pits. No smoking inside tents/accommodation. Cigarette butts must be disposed of properly.
11.3 Waste & recycling: Guests must remove rubbish, recyclables, and leave accommodation in clean condition. Additional cleaning fees may apply if there is serious mess or damage.
11.4 Respect for the environment, wildlife and bushland: Guests must stay on designated paths, respect flora & fauna, not feed wildlife (unless under supervised tour), and follow any fire‑ban or safety instructions.
11.5 No parties, large gatherings, or unapproved events unless pre‑approved in writing.
12. Booking Changes by Us / Property Unavailability
12.1 We reserve the right to cancel or alter bookings if the property becomes unavailable (sale, major damage, safety risk, regulatory requirements, fire bans, extreme weather). We will notify guests as soon as possible and offer full refund or alternative dates.
12.2 If a booking is cancelled by us under such conditions, we are not liable for costs incurred by the guest (transport, other bookings, etc.).
13. Acceptance of Terms & Modifications
13.1 By submitting payment and receiving confirmation, the Guest acknowledges they have read, understood and accepted these Terms & Conditions.
13.2 We reserve the right to modify these Terms & Conditions at any time. We will post revised T&Cs online with a “last updated” date. Existing confirmed bookings will be subject to the T&Cs that were in effect at the time of booking, unless otherwise agreed.
